Sending Messages to Guests

Want to quickly inform participants of an event — without changing or canceling a booking?

With the new messaging feature, you can now send messages to guests directly from the booking list.

Perfect for last-minute updates like meeting points, weather notices, schedule changes, or reminders.


✉️ Where can I find this feature?

Go to the CMS:

Requests & Bookings

In the list, you’ll see a checkbox on the left side of each booking row.

⚠️ Important: The messaging function works for one booking row at a time only.


🛠 How to send a message to guests

  1. Select the checkbox
    Click the checkbox next to the desired booking row.

  2. Click the envelope icon
    In the Bulk Actions menu, an envelope icon will appear.
    → Click it to send a message to the guests.

  3. Write your message
    A pop-up will open where you can enter your custom message.

  4. Include canceled guests (optional)
    You can choose whether guests with canceled bookings should receive the message.

    • Enabled by default

    • Can be turned off if needed

  5. Send the message
    Confirm the action — your message will be sent immediately.


👥 Who receives the message?

The email is automatically sent to:

✅ All participants in that booking row
✅ You (as a copy)
✅ All recipients saved in the experience settings (under Section 3 – Booking Options)
✅ Recipients of the digital participant lists

This ensures both guests and your team stay informed.


💡 Typical use cases

  • Changing meeting points or start times

  • Weather-related updates

  • Reminder messages before an experience begins

  • Additional information about equipment or clothing

  • Important organizational details


📝 Good to know

This feature works independently of booking status changes such as Confirm or Cancel.
You can send messages to guests anytime — without editing the booking itself.
